Today I want to share specific content to help Human Resources teams improve their recruitment process with Pipefy!

Recruitment processes involve a lot of analysis, approvals, and interviews; therefore, they can often take a longer time to complete than necessary. Recruiters know that the high volume of CVs in the screening phase can become a bottleneck, along with repetitive and manual tasks.

 

With Pipefy, you can automate the selection of candidates and optimize the screening phase. Just define your selection criteria and set up your automation in minutes!

 

Forms: the best way to receive applications

 

Before automating candidate screening, you need to ensure you receive information correctly. The best way to receive CVs is through public forms.

 

Candidates will fill in information and you will receive applications in the form of cards in Pipefy. It is important to edit the form carefully, because when configuring the automation we will use its fields as a basis for the selection of candidates.

 

Among other information requested in job applications (such as name, email, telephone, an attached CV), you can include other fields to automate the screening. For example:

  • Education level

  • Graduation field

  • Salary expectation

  • Previous experiences

  • Fluent in another language

Suppose you want to receive CVs only from people that are Fluent in French. In that case, you can create automation to automatically move everyone who doesn't marks the Fluent field to the Unqualified Candidates phase.

 

How to filter candidates with automations

 

To create a candidate selection automation, you must be an administrator member of the recruiting pipe. Click the Automate button, located in the header of the pipe, and then click Create new automation.

On the automations screen, select the event When a card is created, which represents every time someone submits an application to the process through forms.

After selecting the event, you must choose the conditions for the automatic selection — which are based on the form fields. Following our example of only wanting to interview candidates Fluent in French, click on Add condition.

 

First, we select the field of the form Fluent in French, then the option is not equal to and finally Fluent. Important: here you can add multiple conditions to create a more complex triage.

For example, you could even filter candidates fluent in another language who also have a master's degree, candidates who have more than five years of experience, and whose compensation expectation reaches up to US$ 2,000.

 

There are a lot of possibilities, and you can build different automations according to the needs of each job vacancy and your company.

 

Once your conditions are set, click Save. The next step is to define the automation action, which in this case is Move the card. After choosing the action, we select the phase that candidates will be automatically moved to.

 

Because we only want people fluent in French, everyone who does not answer the field correctly is automatically moved to the Unqualified Candidates phase. Click Create Automation and you're all set!

Of course, you can add more conditions or even create multiple triage phases. For example, instead of only Qualified Candidates and Unqualified Candidates, you can create a phase where candidates meet all requirements and a waiting phase for candidates who meet only a few requirements.

 

📌 Unqualified candidates can receive an automatic dynamic email; this way, they are aware of the status of the process and you don’t need to send manual emails.

 

Another possibility: knowledge tests

 

Besides filtering candidates based on hard skills, you can also select them through qualifying questions. For example, once candidates pass your initial filtering criteria, an automated email can be sent with a phase form.
