The first step is to create a phase where you will receive the cards that meet the requirement to send an email before or after the expiration date. In the example, we will set it up so that 7 days before the expiration date of the field an email is sent to the customer. After creating the phase we will create the recurring activity automation. The frequency within the recurring activity is at your discretion, in this case, we use every half hour. Also, we select the option to move the card to the "Proposal" phase which is the new phase created within the "Recruitment Process" pipe in the example: Now we go to "Add new scenario" to set the card to move to the new phase, based on 7 days before expiration. Under Phases > Start Form, we select the due date field. Then under Relative, we set it to exactly 7 days ago, as in the video: After saving this first automation. Let's create the second automation, to send the email. At this point, you should have already saved the email t
Use automation rules to automatically assign overdue demands to the team manager Expected results: Avoid delays in deliveries by notifying the manager when a task becomes overdue. What is this useful for? You can use automations to create an automated escalation process. Whenever a task/card becomes overdue (goes past its due date), you can automatically bring it to the attention of the manager or another team to ensure it'll be taken care of. Before you get started you'll need to: Create an assignee select field in the first phase of your pipe (you can add it to the start form if you wish, just make sure it's able to be edited in other phases); Make sure all your tasks have a due date - you can establish that by adding a mandatory due date field. How to: Access the automation menu by clicking on the automation option in the sidebar (in the left side of the screen). Click on 'create automation'. Our event will be 'when an alert is triggered' - in pipe 'team ta

How automations help keep a creative agency’s recurring projects on track. Now that I’ve gone in-depth on how Pipefy Helps Our Ad Agency Field 100+ Requests Monthly, I thought I would share a simple hack in our workflow that you can apply to any project management pipeline. For us, we know that every week we have to produce 6 newspaper ads. As such, we have created simple automations to create cards at a certain time every Monday at 8AM. The great thing about this process is that it allows us to include pre-populated information in the card that saves time. We can automatically include all the information needed to complete the project, rather than having to manually create a card each week.A preview of our simple card creation automations that keep us on track! Here’s how it works, on your left-hand menu, press “Automations” --- > “Create a New automation”. Here is a preview of what our automations look like. Learn more about automations at this link. What are some ways that yo
🤔Customers usually ask us “how can I use automation to update my field with an empty value?” This workaround is recommended if your company is on the Business or Enterprise plan (we are going to need automation and a field conditional to enable this workaround). 👉🏼 If you are not in on one of these plans and want to upgrade your account, you can contact the support team in our chat or your CSM, if you have one. 😉 1. First of all, you need to choose what type of field you want to update. We need to create a new field of the exact same type as the field we want to update. So, let's pretend we are interested in updating a field type Date. I already have a Date field in my process, but I also created a new one called “Date - hide”. (I even named it that way to make it very clear that that is the field I want to hide, therefore it will not be visible in my process). This field will always be empty and it will be the one to be used in my automation. 2. In order to confuse process users,

Use automation to speed up your automation flows Expected results: Save time with efficient and automated approval flows. What is this useful for? Based on your business rules, demand approval from other teams or managers so that requests can flow smoothly and warrant better alignment and quality. Example: the value of purchase that demands approval from the manager. Before you get started you'll need to: Make sure the first phase of your pipe doesn't have any mandatory fields and Create an 'approval' phase. How to: Access the automation menu by clicking on the automation option in the sidebar (in the left side of the screen). Click on 'create new automation'; Our event will be when a card is created in the pipe purchase process. We'll add the condition that the purchase value is more than U$D500; Our action is to move the card to the Approval phase so that the manager in charge of the process knows that that request demands his/her attention. When setting up a new email template, some settings need to be checked. If not, there may be a problem with diverging timezones. My template is at different times, now what?😧First you should access the template and check the current settings. The path taken is this: Pipe Settings > Email > Under Email Templates, select "My Templates" > Select the template you are going to make the change. After that we will check the template settings: Language Settings > Time Zone. ⚠ By default, all templates come in the default time zone GMT 00:00. And if you want to change it, you need to change each template. 👉🏼These settings can only be performed by a pipe member who has admin or super admin access.

This type of automation is ideal when you want to move the parent card after the child card has reached a certain phase in the process.👉🏼What do I need to start the automation?First you must have both pipes created, and with fields created as well. After that you need to connect the pipes, and have connected cards being created in the child pipe.⚠️Important for automation operation! For the proper operation of the movement of the parent card, there must be no obstacles to moving the phase card. For example, a required field in the current parent card phase can’t be empty, or the current parent card phase must not allow the card to move to the phase indicated in the automation. 👉🏼How do I create automation? You can choose from different triggers, like the one in the example below: "A card enters a phase". The automation will be created in the child pipe, as shown in the image: Now you will set the automation action: "Move the parent card". You must select the parent pipe, and also the
The automation for creating a connected card is used to carry information from one pipe to another via the connection between the source and target pipe.👉🏼What do I need to start the automation?First you must have both pipes created, and with fields created as well.⚠️Importante for automation to work:The fields in the destination pipe, need to be of the same type as the fields in the source pipe. This means that you will not be able to send information from a number type field of the source pipe to an email type field of the destination pipe, for example. In the case of fields with multiple choices, such as the Single Selection type field, the choices in the source pipe field need to be exactly the same as in the target pipe field. If there is a difference, for example, lower case and upper case, the automation will not work. The fields must be set up as in this example: Pipe Test 1 Pipe Test 2On
