Hello everyone!

I’m having an issue with email follow-ups with my clients.

In my process, when a card moves to another phase, some emails are sent to the client informing them of the current status of the request, like a follow-up. However, the emails related to the same card arrive in the mailbox separately, instead of appearing in the same thread. This makes it more difficult for us to follow up with our clients.

I’d like to know if there is any way to make all emails related to the same card arrive in a single thread in the mailbox, so the previous messages remain visible and the conversation history is clear.

Hi ​@Victor Adriell ,

Currently, email threading for follow-up messages sent automatically by Pipefy (such as phase change notifications) is a known product limitation. Each outbound email initiated by Pipefy is sent as an independent message, so it will appear as a separate thread in standard email clients like Gmail.

However, if your organization uses Outlook with Pipefy's Microsoft integration, all emails related to the same card will be grouped into a single conversation thread automatically.

If threading is a critical requirement for your workflow, we recommend exploring the Outlook integration as it provides the native threading experience you're looking for.

That’s a common pain point when using automated emails for status updates. By default, emails sent through Pipefy automations don’t always maintain the same email thread because each message can be treated as a separate email event, especially if headers like Message-ID, In-Reply-To, and References aren’t preserved between sends.

In most email clients, threading depends heavily on those headers (and sometimes the subject line). Since Pipefy automations don’t give full control over email headers, keeping everything in a single thread can be tricky. One workaround some teams use is:

  • Keeping the exact same subject line for all follow-ups (no dynamic changes)
  • Avoiding prefixes or variations that might break threading
  • Using a reply-based approach (e.g., replying from a connected inbox instead of sending new emails via automation)

Another alternative is integrating with tools like Make (Integromat) or email APIs, where you can control threading headers more precisely and force emails to stay in the same conversation.
