How do you document recurring workflows across teams?

I've been refining a few recurring workflows lately, and one thing I've learned is that having clear documentation makes a huge difference. Whether it's onboarding, approvals, or task handoffs, a well-defined process helps reduce confusion and keeps everyone aligned.

I also like collecting useful references when I'm planning new workflows. One helpful resource I came across is workflow planning guide, which offers some practical ideas that can be adapted to different teams.

I'm interested to know how others here document and improve their recurring processes. Do you rely mostly on automations, or do you keep detailed process documentation as well?

Hi @skiphop

A good balance between process documentation and automation usually delivers the best results.

Before automating a workflow, it's a good practice to document it first. This helps everyone understand the purpose of the process, the owners, handoffs, business rules, and expected outcomes. Having this documented also makes onboarding new team members much easier and creates a single source of truth for everyone involved.

Once the process is documented, you can use Pipefy to standardize execution with phases, required fields, automations, forms, approvals, and AI, reducing manual work while keeping the process consistent.

In my experience, documenting the workflow first and then automating it in Pipefy makes future improvements much easier and helps keep every team aligned as the process evolves.
