Best practices for automating an Accounts Payable / Tax Document pipe?

Hi everyone,

I'm relatively new to Pipefy and currently trying to streamline our company's finance and expense reporting workflows. Right now, our process for handling receipts, contractor invoices, and expense approvals is entirely manual (mostly via Slack and email) and gets very chaotic at the end of the month.

We outsource our heavy financial work and bookkeeping to a Canadian accounting firm, and they require our records to be highly organized and submitted by specific deadlines for corporate tax compliance. I am trying to build a Pipe where employees can submit their expense requests, department managers can approve them, and the final approved documents are automatically sent to our external accountants.

A few questions for those who have built finance-related pipes:

Is it better to set up an email automation to automatically send the approved attachments to our accountant's email, or should I invite them as guest users to view a specific "Completed/Ready for Tax" phase in the pipe?

Are there any existing templates in the Pipefy gallery that you recommend modifying for document collection and approval?

Would love to hear how you guys structure your finance workflows. Thanks in advance!
