The template gallery is a library of real processes, with phases, fields, and forms already configured for the workflow you want to digitize. Installing the right template reduces the time to your first working process from days to hours.

The Pipefy template gallery is a catalog of ready-made processes. Each template is a pre-configured pipe with phases, fields, and forms that make sense for a specific type of workflow.

 

Use the gallery before building any pipe from scratch. Even if you need something specific, seeing how similar processes were structured speeds up your own design.

 

What comes pre-configured in a template

Understanding what’s already configured is the first step to mapping the scope of what you still need to adjust.

What you get when you install:

  • Process phases: the step sequence is already mapped. In an Employee Onboarding template, you’ll find phases like "Pending Documentation," "Access Configured," "Initial Training," "Onboarding Completed"
  • Form fields: the fields that make sense for that process are already created. Type, name, and order configured
  • Start form: the form that starts the process is already ready with the relevant fields

 

What doesn’t come ready:

  • Automations: need to be created manually after installation
  • Members and permissions: you define who accesses each phase
  • Filled cards: the template arrives empty; you start from scratch in terms of data

 

Treat the template as a structured draft, not a final product. You’ll need 30 to 60 minutes to adapt it to your context. The advantage is that the process architecture is already there.

Practical rule: if you’re in your first days in Pipefy and still learning the platform, start with a simple template. Studios are for when you already have a clear picture of the end-to-end process you want to orchestrate.

 

How to install a template in 3 steps

Step 1 — Find the right template

Go to pipefy.com/en/products, browse by your process category, or use the search field. Read the description before installing — it indicates what the process covers and which profile it was designed for.

Step 2 — Install with one click

Click "Use template." You’ll be directed to your account (or to login if you’re not logged in). Pipefy creates a new pipe in your workspace with the entire structure already configured.

 

The template creates a new pipe. It cannot be applied to an existing pipe. If you already have a pipe in progress and want to use a template’s structure, the solution is to install the template in parallel and migrate data manually.

 

Step 3 — Explore before adapting

Before editing anything, spend 10 minutes navigating the newly installed pipe. View the phases, open each one’s fields, read the start form. Understanding the logic that’s already there will help you adapt with more precision.

 

You can install the same template more than once. If two teams use the same process, each can have their own separate instance with their own customizations.

 

What to adjust after installation

Installing the template is the beginning, not the end. The most common adjustments:

 

1. Rename phases and fields to your team’s language

The template uses phase names aligned to the process it represents, but every company has its own operational language. You can adapt the names to your team’s vocabulary to ease adoption and reduce friction day to day.

2. Add or remove fields

Remove fields that don’t make sense for your context. Add the ones that are missing. The template structure is a starting point, not a constraint.

3. Configure automations

This is the step with the biggest impact on efficiency. The most common ones to start with: move a card when a field is filled in, send an email when the card reaches a specific phase, escalate cards that have been stalled for more than X days.

4. Invite team members

Add the people who will operate the process and define permissions per phase.

5. Test before communicating to the team

Create 2 or 3 test cards and go through the entire process before opening it for real use.

How to choose the right template for your process

Evaluate by workflow, not by name. Two templates can have similar names but very different logic. Look at the phases listed in the description before installing.

Prefer the simplest one that works. The more fields and phases, the more customization you’ll need. If a leaner template solves the core problem, start with it.

Validate with a process question: Who initiates? What happens next? Who approves? What does "completed" mean? If the template’s phases answer these questions reasonably well, it’s a good starting point.

There’s no limit. You can install the same template more than once.

If I install and don’t like it, how do I undo it?

Delete the pipe that was created. There’s no "uninstall" — but deleting and starting over is simple.

Can I apply a template to an existing pipe?

No. The template always creates a new pipe.
