Question

Pipefy only sends three automated emails per day on the free plan

fayadneto

Greetings, dear team!

I would like to use Pipefy to manage reimbursement requests for the non-governmental organization I am part of. I will be the only administrator, and I will handle a maximum of 200 reimbursement request cards per year.

To achieve this, I created a simple process in Pipefy with three email automation rules to notify collaborators whether their reimbursement request was approved, rejected, or has been processed/deposited.

However, I noticed that after sending around three of these automated emails in a single day, the free version of Pipefy simply stops functioning. From that point on, none of the collaborators who submitted reimbursement requests receive any email updates regarding their status (approved, rejected, processed), and as the administrator of the reimbursement process, I receive the following email:

“You have exceeded the daily free plan quota for sending emails. Upgrade your plan now to keep using pipefy and access all our features".

I would be extremely grateful for your help in resolving this issue!

Hello, fayadneto,

Thank you for your contact. In order to continue fully enjoying our services, it is necessary to activate a paid plan. Only by activating a paid plan will you be able to proceed with the full use of the platform.

On this page, you can better analyze the available plans:

We are available for more information about the plans or to assist with any questions you may have.

Thank you.

I ran into the same issue when I first started using Pipefy. I set up email automation for a project, and after sending a few notifications, I hit the limit on the free plan. It was frustrating because I couldn’t send any more emails to keep my collaborators updated.

What worked for me was either upgrading to a paid plan or integrating Pipefy with an email service like Zapier to handle the notifications. If upgrading isn’t an option, you can try staggering the emails across multiple days, though that might take some adjusting. Hopefully, that helps!

You're exceeding Pipefy's free plan email limit, which is why automated emails stop after a few sends. To resolve this, you can upgrade to a paid plan, which removes the restriction, or integrate an external email service like Gmail or Outlook using Zapier or Make to handle notifications. If your request volume is manageable, you could also send updates manually. Upgrading is the simplest solution, but an external email integration can work around the limitation if needed.

This restriction encourages users to optimize their email automation by focusing on key updates, approvals, or follow-ups that drive workflow flow efficiency. Businesses and teams relying on frequent automated messaging may need to upgrade to a paid plan to unlock higher limits and additional features.

The issue is due to Pipefy’s email quota limit on the free plan. Since you've exceeded the daily limit, automated emails are blocked. To resolve this, you can either upgrade to a paid plan or use alternatives like manually sending emails, integrating an external automation tool (e.g., Zapier), or batching notifications.
