Automating User Access Requests with Pipefy

Hello

Managing user access requests efficiently is a key challenge in IT operations. Our team is considering using Pipefy to streamline approvals for new user accounts; permission changes & offboarding. However, we’re facing challenges in setting up conditional workflows where approvals vary based on role and department. Has anyone successfully implemented this?🙃

Additionally, we’d like to integrate Pipefy with our existing identity management system (e.g., Okta, AD, or Google Workspace) to auto-provision access once requests are approved.🙁   What are the best approaches for this, and are there any potential pitfalls to watch out for? Any guidance or templates would be greatly appreciated!

For reference, I checked Pipefy’s automation documentation, but I’d love to hear real-world implementations.

Thank you !!

Hello.

I guess that for custom/own identity management system it would be better to talk to support/commercial team. Maybe a custom tenant would be needed for this scenario.

Yes, you can implement conditional workflows in Pipefy based on roles and departments using conditional logic and automation rules. For integration with systems like Okta or Google Workspace, Pipefy offers API access or you can use tools like Zapier or Make to connect them. Be mindful of automation loops and keep workflows as simple as possible. Real-world users often use dynamic fields and phase conditions to manage approvals. It's also helpful to review Pipefy’s community templates for user provisioning processes.
