Process Lead TimeProduct Hacks

Have you ever heard of ProccessLead time? Process Lead time is the amount of time between the start of a process and  its conclusion. In other words, it’s the amount of time from a card creation until it reaches an end phase of the process.   To check you process lead time For that, you must create a report with the following information: : “Created at” and “Finished at”.  After selecting both columns you can export it to excel by clicking on .    Nexct,  open the Excel file, add a new column called  “Lead time” and on the cell add the following formula:  =Finished at - Created at   The result will be the number of hours or days a card spent to go from the first to the last phase of your process. You can apply this formula to all records of cards in the spreadsheet and at the last cell  you must add the following formula to get your process lead time: =AVERAGE(cells range)   The final result will be your process lead time..    Ps. How to calculate your return over investment using Pipefy?PRODUCT HACKS

Do you know you can easily calculate the ROI (return on investment) on your process?    There are multiple features that save you a lot of time, like: automation rules, automatic emails, PDF generator and connected cards.   On average all the features above save up to 5 minutes of work from a Pipefy user every time they run.    To know how many times these features ran in your process, last month for example, just ask your CSM (Customer Success Manager)! They can pull this data and share it with you.    ROI, is a pretty straightforward formula: ROI = ((Gain - Investment) / Investment). The result you have  to multiply by100 to have the value on percentage (%).   Okay, but how do I calculate ROI using these features? Well, like Benjamin Franklin said: “Time is money”.   If you have how many automatic emails were sent in a month, you can calculate how many minutes you saved with this feature. Product Hacks: How can I pull a list if all pipe IDs?Product Hacks

Have you already asked yourself if there’s an easier way to pull a list of all processes IDs from your Pipefy organization? Using  a GraphQL query that will be possible.   GraphQL is a query language for your API, and a server-side runtime for executing queries by using a type system you define for your data. This technology helps you search for information in your organization in a much faster and practical way.   Ok, but you are probably asking yourself what should I do?    First, you need to access Pipefy’s GraphQL page: https://app.pipefy.com/graphiql , that should pretty much look like this:   Now you should paste the query below on the left white side of the page:   Query:   {organization(id:Paste here the ORG ID){ pipes {   id }   id    }  }      }  } }}   It will  look like this (example bellow):   After that, press the execute button on the top left side of your screen. Product Hacks: QR Code and Public Form IntegrationProduct Hacks

QR code (or Quick Response code) is the trademark for a type of matrix barcode (or two-dimensional barcode). A barcode is a machine-readable optical label that contains information about the item to which it is attached.   In other words, it's a link that your smartphone camera can read.    Pipefy's start form can generate a public link that allows anyone to create a request from outside our software. This link can be easily configured  as a QR code. Ok, and so what?   The QR code can be an easy way to fill a reimbursement form, travel/facilities, or any HR request directly from your mobile.   Here is a quick guide on how to configure that: : 1- Create a Pipefy start form  2- Turn this into a public form by clicking on the button “Share” on the right side of the form (image below)    3- After that , enable the public form button, generate a public link and copy it.      4- After copying the link, you need to go to a free or paid QR Code generator website. Create recurring activitiesproduct hacks

  Expected results: Save time by automatically creating recurring activities and making sure your team follows their routine. What is this useful for? Automatically creating cards for recurring daily/weekly or monthly activities (such as accounts payable, extracting reports, team meetings, etc.) . Before you get started you'll need to: Specify which task you wish to automatically create in your team's task management pipe.  In our case we want a card to be created every Monday 9 a.m. to remind the team to extract all necessary reports before the team meeting on Wednesday. How to: Access the automation menu by clicking on the automation option in the sidebar (in the left side of the screen); Click on 'Add new automation'; Our event will be 'Recurring activity'. Use automation to eliminate the need to manually fill in fields Expected results: Save time by automatically updating information in your pipe's fields  What is this useful for? Use automation to update fields in your pipe with data from database records.  Save time by not having to manually fill in all your employee data every time they open a new request while ensuring you're always using the most updated information from your customer database. Before you get started you'll need to: Create a database with the records where you'll add all your employee data (such as name, email, phone, address, etc.) Create a connection field in your pipe's start form where you'll select the employee record; Create the fields you'll wish to update with your record's data (ex. Employee name, email, phone). Make sure the fields are the same type of fields in the database. If they're in the start form, make sure you can edit them in other phases. Escalate high priority demands when they become overdueproduct hacks

Use automation rules to automatically assign overdue demands to the team manager   Expected results:  Avoid delays in deliveries by notifying the manager when a task becomes overdue. What is this useful for? You can use automations to create an automated escalation process. Whenever a task/card becomes overdue (goes past its due date), you can automatically bring it to the attention of the manager or another team to ensure it'll be taken care of. Before you get started you'll need to: Create an assignee select field in the first phase of your pipe (you can add it to the start form if you wish, just make sure it's able to be edited in other phases); Make sure all your tasks have a due date - you can establish that by adding a mandatory due date field.
